Welcome to Moody Journeys. We're a group travel brand built for people who want to experience remarkable destinations without the logistics getting in the way. Every transfer, every vehicle, every driver — we handle it. You just show up and travel.

Moody Journeys is the non-self-drive brand under the Flytrail family. Unlike our sister brand Flytrail — where you're behind the wheel — on a Moody Journeys trip, all transportation is arranged and operated by our vetted network of professional drivers, coaches, trains, cabs, and specialist vehicles (such as safari vehicles in Kenya). You are a passenger throughout.

This document sets out the terms that apply when you book a trip with us. By paying your deposit, you confirm that you've read and accepted everything here.

A note before you read on: This is a legal agreement. If anything is unclear, please reach out before you book. We'd rather answer your questions upfront.

1. About Your Booking

When you book a Moody Journeys trip, you enter into a direct agreement with us. Your booking is confirmed once we've received your deposit and issued a written confirmation.

Who can book

  • You must be 18 or older to make a booking.

  • The lead booker is responsible for sharing these terms with everyone in their group.

  • All travellers in your group are bound by these terms.

What Moody Journeys arranges

All transportation on a Moody Journeys trip—including airport transfers, intercity travel, sightseeing, and day excursions—is handled by our operators. Depending on your destination and itinerary, this may include:

  • Air-conditioned coaches

  • Private cabs or shared transfers

  • Trains and rail passes

  • Safari vehicles and modified expedition vehicles (e.g. Kenya)

  • Any other mode of transport specified in your itinerary

Airport transfers may not be a standard inclusion on all Moody Journeys trips.

When in doubt, check your brochure. The inclusions listed in your trip brochure are the definitive reference for what is and isn't covered. If something is not listed there, it is not included. Please do not assume — ask us before you travel.

You will be informed of the specific transport modes for your trip at the time of booking.

2. Payments

Deposit

A deposit is required to secure your place. The amount will be confirmed at booking.

Final payment

The balance must be paid by the deadline stated in your invoice. We accept bank transfer (RTGS/NEFT), cheque, digital transfer, and major credit cards.

Important: If your deposit or final payment is not received on time, your booking may be automatically cancelled. The responsibility to pay on time rests with you.

3. Cancellations & Changes

If you cancel

Cancellation fees apply based on how far in advance you cancel. Our full refund policy is published at www.moodyjourneys.com/refund-policy. Please read it carefully before booking.

If we cancel

We rarely cancel trips. If we are compelled to do so and cannot offer a suitable alternative, you will be offered one of the following:

  • A credit note valid for a future Moody Journeys or Flytrail trip.

  • A bank transfer refund to your original payment account.

  • A combination of both, depending on circumstances and costs already committed.

Please note: Any refund — in whatever form — is strictly limited to the amount paid directly to us. We are not responsible for and will not reimburse flight tickets, visa fees, travel insurance premiums, or any other expenses you may have incurred.

Changes to your itinerary

We plan every trip in detail, but remote and international travel is unpredictable. We reserve the right to change itineraries, routes, transport modes, timings, or accommodation without prior notice when required by safety concerns, weather, road or rail conditions, supplier availability, local regulations, or other circumstances beyond our control. Where changes are made, we will always aim for the closest possible alternative and act in your best interests.

Force majeure & when trips operate

Moody Journeys is not liable for cancellations or disruptions caused by circumstances entirely beyond our control — including natural disasters, extreme weather, civil unrest, terrorism, pandemics, or government-imposed travel restrictions.

If we are forced to cancel under these circumstances, we will offer a credit note or rescheduled trip where possible. We are not obligated to provide a cash refund in force majeure situations, as costs are often already committed to suppliers.

Clients cannot invoke force majeure to cancel. If flights from your home country or first port of departure to the destination are operational, and no travel advisory has been issued against the destination by the Indian government or your country of residence, the trip is considered fully operational. A personal decision not to travel under these conditions will be treated as a standard cancellation. The standard cancellation schedule will apply.

4. Your Travel Documents

You are solely responsible for ensuring all your travel documents are valid and in order before travel.

What you need to arrange

  • A valid passport — check that it meets the destination country's minimum validity requirement (typically 6 months beyond your travel dates).

  • A visa or eTA, if required. We will advise you during the booking process but the application is your responsibility.

  • Travel insurance — see Section 5.

Please share copies of your flight details and visa with us before the trip begins.

5. Travel Insurance

This is not optional. Every Moody Journeys traveller must hold comprehensive travel insurance before departure. This is a firm condition of your booking.

Your policy must include at a minimum:

  • Emergency medical treatment

  • Medical evacuation (medevac)

  • Trip cancellation and interruption

  • Baggage loss or damage

Medical evacuations from remote or international destinations can be extraordinarily expensive. If you travel without valid medevac cover and an evacuation becomes necessary, you will be personally liable for the full cost. Moody Journeys cannot and will not cover this on your behalf.

Please provide your policy number and your insurer's emergency contact number before the trip begins.

6. Transport & Third-Party Operators

Moody Journeys does not own or operate the vehicles used on our trips. All transportation — coaches, cabs, safari vehicles, trains, and any other mode — is provided by independent, professional operators whom we select and vet carefully.

What this means for you:

  • Each operator is a separate legal entity, subject to their own operating licence, insurance, and applicable local law.

  • Moody Journeys is not liable for delays, breakdowns, accidents, cancellations, or any other disruption caused by a third-party operator, provided we exercised reasonable care in selecting them.

  • In the event of a vehicle breakdown or unavailability, we will work to arrange an alternative as quickly as possible. However, we cannot guarantee timelines in all destinations.

  • Moody Journeys is not liable for any personal belongings, baggage, or items left in or lost from a third-party vehicle.

Safari and specialist vehicles: On certain trips — particularly Kenya wildlife safaris and similar expeditions — you will travel in purpose-built or modified vehicles operated by specialist local providers. These operators function under local safari and wildlife regulations, which take precedence. Safety instructions from the operator or guide must be followed at all times.

Seat allocation and vehicle composition may change based on group size, availability, or operational requirements. We will always ensure you reach your destination as planned, even if the exact vehicle or seating arrangement differs from what was originally described.

7. Health & Medical Fitness

Moody Journeys trips are designed to be accessible, but some itineraries involve physical activity, high altitudes, remote locations, or extended travel days. You should be in reasonable health before joining us.

What you need to tell us

  • Any medical condition — physical or mental — that might affect your participation or require special assistance during travel, including allergies.

  • Susceptibility to altitude sickness, motion sickness, or any condition triggered by extended periods in a vehicle.

  • Any medication you take regularly, particularly if it requires refrigeration or special handling during travel.

Please disclose this at the time of booking, or at the latest within two weeks of confirming. If a condition arises after booking, tell us as soon as possible.

Why this matters: If you misrepresent your health and it becomes apparent during the trip, we reserve the right to remove you from the tour without refund. We don't want that outcome — so please be upfront with us.

Medical assistance on trip

If you fall ill or are injured, our team will arrange transport to the nearest appropriate medical facility. The attending doctor's decisions on treatment or evacuation are final. If you decline a doctor's recommendation, Moody Journeys accepts no liability for the consequences or any costs that follow.

All medical costs, evacuation costs, and associated expenses are your responsibility — which is exactly why travel insurance is mandatory.

Travellers with disabilities or limited mobility

We are committed to making our trips as inclusive as possible. Please contact us before booking to discuss your requirements. We will confirm in writing whether appropriate arrangements can be made for your specific trip. We cannot guarantee accessibility on all itineraries, particularly those involving specialist terrain or local transport infrastructure.

8. Your Behaviour on Tour

Our trips bring together small groups of people, often for several days in close proximity. A respectful, cooperative attitude is not just appreciated — it is a condition of travel.

Your responsibilities

  • Follow all safety instructions from guides, drivers, and our team — at all times, without exception.

  • Respect fellow travellers, drivers, guides, and local communities.

  • Abide by the laws and customs of every country or region you visit.

  • Keep to agreed departure times and schedules. Consistent lateness affects the entire group.

Grounds for removal

We reserve the right to remove anyone from a tour — without refund — who:

  • Behaves in a threatening, abusive, or hostile manner toward our team, operators, or fellow travellers.

  • Repeatedly disregards safety instructions.

  • Acts in a way that puts the group, the vehicle, or local communities at risk.

  • Displays conduct that is unlawful or deeply disrespectful of local customs.

Removal decisions are made by the lead guide or Moody Journeys representative and are final.

Schedules and punctuality

Our tours operate on shared schedules. If you miss a departure — for any reason — Moody Journeys is not obligated to arrange alternative transport at our cost. Any additional transport expenses arising from a missed departure will be borne by you.

Prohibited items

You must not carry weapons, explosives, or flammable materials at any point during the tour.

Illegal substances

The possession or use of illegal substances is grounds for immediate removal from the tour without refund. You will also face arrest and prosecution under local law. Penalties vary by country and can be severe — in some destinations, even small quantities can lead to trafficking charges.

9. Photography & Media

Photos we take

We sometimes photograph or film tours for use in our marketing and social media. By booking with us, you agree to your image being used for these purposes. If you'd prefer not to be included, please tell us in writing before the tour begins.

Photos you take

Any photos or videos you take remain yours. If you share them with us, you grant Moody Journeys a non-exclusive licence to use them for editorial or promotional purposes, without any obligation of credit or compensation.

10. Dietary Requirements

If you have special dietary needs, please tell us at the time of booking. We will communicate your requirements to our operators and accommodation providers and make every reasonable effort to accommodate you. However, in certain destinations — particularly remote areas or regions with limited food variety — we cannot guarantee that all dietary preferences will be met in full.

11. Liability & Risk

The nature of group travel

Moody Journeys operates in diverse destinations across the world, including remote and developing regions where infrastructure, medical facilities, and emergency services may be limited. By booking, you acknowledge and accept the inherent risks associated with international group travel.

What you accept

You acknowledge that group travel carries risks — including the possibility of accident, injury, illness, vehicle breakdown, or death — and that you are participating voluntarily and in full knowledge of those risks. You agree that Moody Journeys, its owners, employees, agents, and partners are not liable for any loss, injury, illness, or death arising from your participation in the tour, except where directly caused by our proven negligence or wilful misconduct.

Third-party operators

As stated in Section 6, transportation and many other services are operated by independent third parties. Moody Journeys is not liable for any loss, injury, delay, or inconvenience caused by these operators. Each operator is subject to their own terms, insurance, and applicable local law. Your recourse in such cases is against the operator directly, and through your travel insurance.

Our liability cap

In all circumstances, Moody Journeys' maximum liability to you will not exceed the net amount you paid us for the tour.

Force majeure

As outlined in Section 3, Moody Journeys is not liable for failure to deliver any part of the tour due to circumstances beyond our control.

12. Disputes & Governing Law

We hope you never need this section. If a dispute arises:

  • Contact us first hello@flytrail.com and give us the opportunity to resolve it directly.

  • If we cannot resolve it informally, the dispute will be referred to a neutral third-party mediator based in Siliguri, India. Costs will be shared equally.

  • If mediation fails, the matter will proceed to binding arbitration under Indian law, with arbitration seated in Siliguri, India.

  • The maximum recoverable amount in any dispute is the net amount you paid Moody Journeys for the tour.

These terms are governed by the laws of India.
